Employee (USER) Departure From YOUR GCRC core or GCRC study:

Please let us know when a user in your group is leaving your project. Normally, GCRC computer users have access to a personal folder in Shared on Parker1, group folders on Groups on Parker1, Med School email accounts, and A2K/SMS. People leave for a variety of reasons. Since they may or may not be leaving the School of Medicine, so we need to be careful and only disable the appropriate access. We assume that most employees leave on good terms, and without any vengeful tendencies. If that is not the case, contact the Informatics Core Director, Clarence Potter, 6-4802, immediately by phone.

The Informatics Core tries to be user friendly and flexible during employee transitions, while maintaing a secure computing environment. Our standard policy is to allow 14 days access to network files / email after the employees last day. That gives them time to get set up in a new job, transfer personal files, and establish email. We will also notify OIS that email or such should be closed based on your input. Please advise the departing personnel of this process.

Please fill out the form below. It will be sent from your personal email account when you hit the send button. Depending on your email software, it may only create the message in your email program. It may be necessary that you click on the send button in your email program. Upon departure, their personal folders in Shared on Parker1 will be archived to another area on the server. It is your responsibility to copy files from their personal folder (Shared on Parker1) either to another users folder in your group or to your group area. Notify us when this is complete so that we may delete any remaining files from the server. The archives remain online for about a year. They are transferred to CD at the end of the calendar year following their departure.. We will assist you, as needed.

Leaving the GCRC. If so, should we
Remove them from the specific GCRC (Parker1) group (ie nutrition, gcrc1802, liver group).
Remove them from the databases (Bigfoot) (assumed - this is a reminder to IC staff).
Remove them from the entire GCRC login (OISSOMNT) group (disable all OIS NT logins).
Disable their domain login (OISSOMNT) (all OIS NT logins).
Put up a vacation message referring GCRC business to their replacement / supervisor.

 

Will they be leaving the School of Medicine? If so, should we
Notify Med School in regard to email.
Notify ATN in regard to Campus email
Notify UNCH in regard to A2K/SMS and CIS.

List servers? [send 'which' message to list server - ]. Remove from which of these lists?
GCRC-staff
GCRC-users
GCRC national lists (GCRC-RD, GCRC-SAM, etc)

COMMENTS:
